Exkit
Terms of Service
Effective October 31, 2026 · Published by Asymptoticsolutions LLC
These terms apply to companies ("you") that use Exkit, the expense service, portal, API and SDKs provided by Asymptoticsolutions LLC ("we"). If you have a signed agreement with us, that agreement prevails where it differs from these terms. Employees who use Exkit through their company's app are covered by their company's terms.
The service
Exkit lets your employees capture expenses in your app, and lets you review, approve and report on them. You manage your tenants, API keys, apps, settings and categories in the Exkit portal. We run the service and handle account matters such as your plan, suspension and deletion.
Your account and keys
- Keep passwords, API key secrets and app client secrets confidential, and on your servers only, never in an app.
- You are responsible for what is done with your credentials and for who you give access to.
- Your backend vouches for each employee it requests a token for. Only request tokens for people you have signed in.
Your responsibilities
- You have a lawful basis for the data you and your employees put into Exkit, and you give your employees the privacy notice they need. You act as controller of that data.
- If your app embeds the SDK, you make accurate declarations in the App Store and Google Play. Our portal provides a guide with the answers for the SDK.
- You do not use Exkit for anything unlawful, try to break its security or isolation, or overload it.
Your data
Your data stays yours. You allow us to process it only to provide, secure and support the service, as described in the Privacy Policy. We do not sell it or use it for advertising.
Sealed records
When an expense is approved, Exkit seals it: it becomes a signed record that cannot be edited during its retention period. Corrections are made by voiding it and submitting a new expense.
Retention and your own archive
- We store your data only while you are our customer, and for at most 24 months from the day we receive it. You can set a shorter period for your account and for each tenant. Data older than that period is deleted for good, including sealed records.
- Exkit is not a legal archive, and we do not guarantee storage beyond this period. You can download your data at any time, and you are responsible for downloading it and keeping it for as long as the law requires.
- The only thing we keep for 10 years is the signed integrity files of the ledger, even if your account is deleted. They hold only technical identifiers, timestamps, hashes and public keys, with no receipt images, amounts or descriptions. They can prove a record was not altered, but cannot restore it, so they do not replace your own archive.
SDKs and documentation
While you use the service, you may embed the SDKs in your apps and use the documentation to integrate with Exkit. You may not resell the SDKs separately or reverse engineer them, except where the law allows it.
Accuracy and advice
- Receipt reading and tax detection can be wrong, so your employees and approvers must check the values.
- Currency conversions use European Central Bank reference rates, which are not the rates paid on a transaction.
- Exkit does not give tax, accounting or legal advice. Tax reports and how long you must keep records are yours to check.
Plans and fees
Your plan and any fees are those agreed with us. Fees and plans may change with reasonable notice.
Availability and changes
We work to keep Exkit available and secure, but unless a signed agreement says otherwise we do not promise uninterrupted service. We may change the service, and we will give reasonable notice of changes that break existing integrations.
Suspension and ending
- We may suspend access if these terms are breached, if fees are unpaid, or to protect the service or other customers.
- You may stop using Exkit at any time. Before deletion you can export your data; the download link works for 30 days.
- When you stop being a customer, your account and tenants are deleted with their data, apart from short-lived backups and the integrity files described above.
Warranty and liability
To the extent the law allows, Exkit is provided "as is", without warranties of any kind, and we are not liable for indirect or consequential losses or lost profits. Nothing here limits liability that the law does not allow to be limited.
Changes to these terms
If these terms change, we will update this page and its effective date, and tell account owners about material changes.
